Office-based, Monday to Friday 8am-5pm
Roles and Responsibilities
Greet and welcome visitors, clients, and employees to the office, providing a positive and professional first impression of the company.
Answer and direct incoming phone calls, take messages, and transfer calls to appropriate individuals or departments promptly and courteously.
Manage incoming and outgoing mail, packages, and deliveries, ensuring timely distribution and handling of correspondence and parcels.
Schedule appointments, meetings, and conference rooms as requested, and maintain calendars and schedules for employees and management.
Assist with administrative tasks such as filing, photocopying, and data entry, ensuring accuracy and confidentiality of information.
Maintain the cleanliness and organization of the reception area and common areas, including conference rooms, kitchens, and restrooms.
Monitor and maintain office supplies inventory, order supplies as needed, and ensure adequate stock levels for efficient office operations.
Assist with special projects and events as needed, including coordinating catering, arranging travel, and providing administrative support to various departments.
Respond to inquiries from employees and visitors regarding company policies, procedures, and services, providing information and assistance as needed.
Adhere to company policies, procedures, and safety guidelines, and contribute to a positive and collaborative work environment.
Present a positive and professional image of the organization to all visitors and callers
Prompt pickup/drop-off, distribution and preparation of incoming and outgoing mail and couriers
Assist in meeting logistics (calendar bookings, catering, registration, check-in, room set up/clean up)
Manage phone lists and reception manual
Provide backup administrative support to the Office Manager
Qualifications and Experience
2 years + of reception/administrative experience
MS Word skills with Word, Excel and PowerPoint an asset
Sharepoint knowledge is an asset
Excellent customer service skills and a friendly, positive attitude
Strong organizational and interpersonal skills
Effective communication skills; both verbal and written
Self motivated, strong work ethic and initiative
Ability to work independently and effectively in a fast paced environment
High attention to detail
