Office-based, Monday to Friday 8am-5pm

Roles and Responsibilities

  • Greet and welcome visitors, clients, and employees to the office, providing a positive and professional first impression of the company.

  • Answer and direct incoming phone calls, take messages, and transfer calls to appropriate individuals or departments promptly and courteously.

  • Manage incoming and outgoing mail, packages, and deliveries, ensuring timely distribution and handling of correspondence and parcels.

  • Schedule appointments, meetings, and conference rooms as requested, and maintain calendars and schedules for employees and management.

  • Assist with administrative tasks such as filing, photocopying, and data entry, ensuring accuracy and confidentiality of information.

  • Maintain the cleanliness and organization of the reception area and common areas, including conference rooms, kitchens, and restrooms.

  • Monitor and maintain office supplies inventory, order supplies as needed, and ensure adequate stock levels for efficient office operations.

  • Assist with special projects and events as needed, including coordinating catering, arranging travel, and providing administrative support to various departments.

  • Respond to inquiries from employees and visitors regarding company policies, procedures, and services, providing information and assistance as needed.

  • Adhere to company policies, procedures, and safety guidelines, and contribute to a positive and collaborative work environment.

  • Present a positive and professional image of the organization to all visitors and callers

  • Prompt pickup/drop-off, distribution and preparation of incoming and outgoing mail and couriers

  • Assist in meeting logistics (calendar bookings, catering, registration, check-in, room set up/clean up)

  • Manage phone lists and reception manual

  • Provide backup administrative support to the Office Manager

Qualifications and Experience

  • 2 years + of reception/administrative experience

  • MS Word skills with Word, Excel and PowerPoint an asset

  • Sharepoint knowledge is an asset

  • Excellent customer service skills and a friendly, positive attitude

  • Strong organizational and interpersonal skills

  • Effective communication skills; both verbal and written

  • Self motivated, strong work ethic and initiative

  • Ability to work independently and effectively in a fast paced environment

  • High attention to detail
